Every friend group has one.
The person who somehow becomes the travel planner without ever volunteering.
They’re the one comparing flights, collecting everyone’s passport information, finding restaurants, figuring out who’s sharing a room, and answering the same question over and over.
“What time are we landing again?” “Can you send me the Airbnb address?” “Wait… are we renting a car?”
By the time the trip finally starts, it can feel like you’ve already done enough work to deserve another vacation.
That was me.
After organizing a few group trips, I realized the hardest part wasn’t planning the vacation.
It was keeping everything in one place.
The hotel confirmation was in my email. Restaurant recommendations were scattered across Instagram, TikTok, and our group chat. Someone had made a Google Doc that nobody updated. Half the group forgot to vote on activities. And every few days, someone asked a question that had already been answered three times.
I wasn’t looking for another complicated travel planner. I just wanted something that fit the way our group actually planned trips.
So I decided to make one with Playful.

Start with the way your friends actually plan trips
When I opened Playful, I didn’t start thinking about screens or features.
I thought about everything that usually ends up scattered across five different apps.
I wanted one place where everyone could answer the same questions without texting me.
So I described the app like I was explaining it to a friend.
I wanted:
- A shared itinerary
- Flight and hotel information
- A place to save restaurants and cafés
- A running packing list
- A section where everyone could suggest activities
- A simple poll so the group could vote on what to do each day
- A shared expense tracker for things like groceries, gas, or split dinners
That was enough to build the first version.
Let everyone help plan
The biggest surprise wasn’t how quickly the app came together.
It was how much easier it became once everyone could contribute.
Instead of sending another message saying, “Any restaurant ideas?” people simply added places they found.
When someone discovered a hidden beach on TikTok, they dropped it into the app. Another friend added coffee shops near the hotel. Someone else started keeping a running list of late-night food spots.
Planning stopped feeling like one person’s responsibility.
It became something everyone participated in.
Expect the plan to change
I’ve learned that group trips almost never go exactly as planned.
Someone sleeps in. Someone gets hungry earlier than expected. It rains. You discover a place that wasn’t on the itinerary.
Instead of scheduling every hour, I organized activities into simple categories:
- Morning ideas
- Rainy day options
- Great sunset spots
- Places near the hotel
- Activities that needed reservations
That made it much easier to adapt without feeling like we were ruining the schedule.
Sometimes the best travel plans are the flexible ones.
Keep the little details together
The things I ended up using the most weren’t even the exciting parts.
It was having one place for the practical details.
Confirmation numbers. Check-in instructions. Wi-Fi passwords. Parking information. Emergency contacts. The Airbnb address. The grocery list for the first morning.
None of those things are memorable.
But they’re exactly the things everyone asks for when they’re scattered across different conversations.
The trip doesn’t end when you get home
After we got back, I almost deleted the app.
Instead, I started adding photos.
Then someone added the name of the tiny taco stand we all agreed was the best meal of the trip.
Another friend wrote down the inside joke that somehow lasted the entire weekend.
Someone else made a list called Next Time.
Before long, the app stopped being a travel planner.
It became a record of the trip itself.
The places we loved.
